Our commitment to your privacy
Trust is essential to humanitarian work. Whether you visit our website, ask about our programmes, offer to volunteer, explore a partnership or support a cause, you should understand what happens to your personal information. This Privacy Policy explains what Dadaire Charity Organization collects, why we use it, when it may be shared and how you can exercise your privacy rights.
We aim to use personal information respectfully, for clear purposes and with appropriate safeguards. We will not sell donor, volunteer or beneficiary contact lists. Information about children and vulnerable people deserves particular care. This Policy describes our intended website data-handling practices; features described as conditional apply only when those services are enabled.
1. Who is responsible for your information?
DADAIRE CHARITY ORGANIZATION LIMITED, trading publicly as Dadaire Charity Organization, is the organisation responsible for personal information collected through this website in connection with its own activities.
- Postal and office location: Kavumba Ward, Wakiso Town Council, Wakiso District, Uganda.
- Privacy and general enquiries: adadaire90@gmail.com
- Telephone: +256 705 374 767
- Website: www.dadairecharity.org
Please write “Privacy Request” in the subject line when contacting us about your personal data. We may request enough information to verify your identity before releasing or deleting sensitive records. We will not ask you to send passwords or bank-card information by email.
2. Who this policy covers
This Policy applies to website visitors, donors and prospective donors, volunteers and applicants, newsletter subscribers, programme enquirers, institutional partners, suppliers, people who contact us and individuals whose information is submitted through our website. It also applies to personal information received through online forms and related communications.
Programme and beneficiary information collected offline may be subject to additional safeguarding notices and consent procedures. A separate written agreement may govern a specific partnership, grant or service. This Policy does not replace those documents.
3. Personal information we may collect
The information we collect depends on how you interact with us.
- Contact and communication information: your name, email address, telephone number, organisation, country and the content of your messages or enquiries.
- Donations and fundraising: your name, contact information, donation amount, transaction reference, payment status, receipt and communication preferences. Payment information may be handled directly by the payment service displayed at checkout; the payment provider’s own privacy terms also apply.
- Volunteering and partnerships: your skills, experience, availability, areas of interest, organisation, professional role and any details you choose to include in an application or proposal.
- Newsletter preferences: your email address, subscription status, consent record and unsubscribe requests.
- Website and technical information: IP address, browser and device information, approximate location derived from technical data, pages requested, referring pages, diagnostic logs and security-related events.
- Cookies and analytics information: cookie preferences and, where enabled and permitted, information about how people use the website, such as page views, device type and interactions.
- Images, stories and programme information: photographs, quotations or case-study information only where appropriate permission, safeguarding assessment and other required protections have been obtained.
Please do not submit national identification numbers, medical records, financial credentials, children’s personal details or other sensitive information through a general contact form unless we have expressly asked for it through an appropriate secure process.
4. Why we process information
We use personal information for defined organisational purposes, including to:
- respond to enquiries, applications and requests for assistance or collaboration;
- administer permitted donations, issue acknowledgements and maintain relevant financial records;
- assess and coordinate volunteer opportunities, partnerships and programme enquiries;
- send updates where you have subscribed or where other lawful permission applies;
- operate, protect, troubleshoot and improve our website and prevent fraud or abuse;
- understand website use through analytics, when analytics are enabled and appropriate consent or another valid legal basis exists;
- manage safeguarding, accountability, reporting and lawful organisational obligations; and
- respond to lawful requests from regulators or authorities.
We rely on consent where it is required, on steps requested before entering an agreement, on the performance of agreements, on applicable legal obligations and on other grounds permitted by relevant data-protection law. We will assess the lawful basis for each processing activity instead of assuming that one basis applies to everything. Where we rely on consent, you may withdraw it without affecting processing that was lawful before withdrawal.
5. Google Site Kit, Search Console and Google Analytics
We plan to use Site Kit by Google to help authorised website administrators understand search visibility and website performance. Site Kit is an administration and reporting integration; connecting a Google service does not mean that every Google tracking or advertising feature is enabled.
Google Search Console, when connected, provides information about how the site appears in Google Search. It generally reports search-performance information to authorised administrators and is not, by itself, a reason to place a Google Analytics tracking cookie on a visitor’s device.
Google Analytics 4 (GA4), if enabled, may process page views, site interactions, device/browser information, approximate location and online identifiers. Google may process this information on infrastructure outside Uganda. We will configure Analytics and any consent-dependent tags to respect the choices recorded through our consent system and the requirements that apply to the visitor.
If Google advertising, remarketing or additional Tag Manager tags are introduced in future, we will first review the necessary notices and permissions and update this Policy as appropriate. We do not describe those services as active merely because Site Kit supports them.
For further information, read Google’s Privacy Policy and Google’s explanation of cookies.
6. Cookies and similar technologies
Cookies are small files or browser identifiers used to keep certain website functions working, remember settings and, when enabled, help measure traffic. The cookies present on this website will depend on which WordPress features, plugins and third-party services are active.
- Strictly necessary cookies: may support site security, login sessions, essential functionality and your privacy choices. These are used only as needed to operate the service.
- Preference cookies: may remember settings you choose, such as cookie preferences or information entered into a permitted comment form.
- Analytics cookies: where GA4 or another analytics tool is enabled, may help us understand site usage. Examples of Google Analytics cookie names include
_gaand_ga_*; their actual use and duration depend on the deployed configuration. - Marketing and third-party cookies: would require a separate assessment and appropriate consent before activation where applicable. We do not assume advertising features are enabled.
Where consent is required, visitors should be able to accept or decline optional cookies and change their choice later through the website’s cookie-preference controls. Until a consent-management mechanism is configured and tested, enabling Site Kit alone should not be treated as providing visitor consent. You can also manage or remove cookies through your browser, although disabling essential cookies may affect parts of the site.
7. Donations and financial information
If online donations are made available, the checkout page will identify the relevant payment processor and the permitted payment methods. That processor may collect payment details, billing information, transaction identifiers and fraud-prevention information under its own privacy notice and applicable terms.
We may keep donation records and receipts to acknowledge contributions, reconcile accounts, respond to donor enquiries and satisfy financial or regulatory obligations. We will not ask you to provide complete bank-card credentials through ordinary contact forms. We will not publicly identify an individual donor without appropriate permission or another valid basis.
8. Volunteers, partners and programme enquiries
If you express interest in volunteering, supporting a programme or partnering with us, we may use the information you provide to evaluate and respond to your request, coordinate activities and maintain relevant correspondence. We will request additional information only when it is necessary for a defined activity, and may provide a more specific notice for formal applications, safeguarding checks or grant agreements.
9. Children, vulnerable people and safeguarding
We take additional care when handling personal information about children and people who may face vulnerability or safeguarding risks. We do not knowingly solicit sensitive details about children through ordinary public website forms.
Any publication of a child’s image, name, story or circumstances requires an appropriate safeguarding assessment and the permissions required by law and organisational procedures. We seek to avoid publishing details that could expose children or families to identification, stigma, exploitation or harm. Parents, guardians or authorised representatives may contact us about a child-related privacy concern.
If you believe a child or vulnerable person’s personal information appears on this website without appropriate permission, please contact us promptly at adadaire90@gmail.com.
10. Comments, accounts, uploads and embedded content
If website comments are enabled, WordPress may collect the details submitted in the comment form, an IP address and browser user-agent information to help detect spam. If Gravatar is enabled, a transformed form of an email address may be sent to that service to identify a profile image. See Automattic’s Privacy Policy for details. These provisions apply only when the relevant features are active.
If user accounts are offered, WordPress may use authentication and preference cookies; administrators may access account data as needed for administration and security. Users with accounts may be able to view or edit information through the relevant account controls.
If we permit image uploads, users should remove unnecessary location information (such as EXIF GPS metadata) before uploading. Publicly displayed images may otherwise reveal such information to other visitors.
Pages may contain videos, maps, social feeds or other content hosted by third parties. Such content can collect information as if you visited the third-party website directly. We will assess whether optional embeds need to be withheld until a visitor makes a relevant privacy choice.
11. Sharing personal information
We may share relevant information with service providers who help operate the website or deliver an authorised service, such as hosting providers, email delivery services, website security providers, analytics providers where enabled, and payment processors where donations are available. We may also share limited information with authorised professional advisers, auditors, funders, programme partners or regulators where there is a legitimate and lawful need.
We will limit sharing to the information required for the relevant purpose and seek appropriate contractual, confidentiality and security safeguards. We do not sell personal information or provide donor contact lists to unrelated advertisers. We may disclose information when required by applicable law or necessary to protect people from serious harm, subject to the applicable legal requirements.
12. International transfers
Some website services, including cloud hosting, email systems, payment platforms or Google services, may process or store data outside Uganda. Before adopting such services, we will consider the protections available in the destination country, contractual and technical measures, and whether consent or another condition required by Uganda’s data-protection law is needed.
Where the GDPR or other international privacy rules apply, we will assess any additional cross-border transfer requirements. We will not claim that all information remains physically stored in Uganda when third-party infrastructure may operate internationally.
13. How long we retain information
We aim to retain personal information only for as long as it is reasonably needed for its stated purpose, applicable reporting requirements, dispute resolution, safeguarding or legal obligations. Retention will depend on the category of record and applicable rules:
- Contact messages and enquiries: for the period needed to respond and manage reasonable follow-up, unless a longer period is justified.
- Donation and accounting records: for the relevant statutory financial-record retention period and legitimate audit requirements.
- Volunteer and partnership files: while an application, relationship or legitimate follow-up remains relevant, and then according to an approved retention schedule.
- Newsletter subscriptions: until you unsubscribe or the mailing list is no longer needed, subject to limited suppression records necessary to honour opt-out requests.
- Technical and security logs: for a limited period proportionate to site security and operational needs.
- Analytics information: according to the active Google Analytics property settings and applicable consent controls; GA4 user-level data retention is configurable and is not the same as the retention of every aggregated report.
- Comments and account details: where these functions are enabled, according to the relevant WordPress configuration and our approved retention procedures.
When records are no longer needed, we aim to delete, securely dispose of or de-identify them as appropriate. Backups may persist for a limited recovery cycle before being overwritten or deleted. A specific retention schedule will be applied to operational systems before launch.
14. Information security
We seek to apply reasonable organisational and technical protections, including access controls, appropriately secured administrator accounts, software maintenance, backups, limited staff access and review of service providers. The exact controls depend on the systems in use and will be assessed during implementation.
No internet service can guarantee absolute security. If we become aware of a personal-data incident, we will investigate, take appropriate steps to limit harm and make any notifications required by law. Please do not send highly sensitive information through an unsecured general enquiry form.
15. Your privacy rights
Subject to applicable law and any lawful exceptions, you may request to know whether we hold your personal information, obtain access to it, correct inaccurate information, object to certain processing, withdraw consent where processing relies on consent, and request deletion where it is legally appropriate. Additional rights, such as restriction or data portability, may apply under the law governing a particular request.
To make a request, email adadaire90@gmail.com with the subject Privacy Request and describe what you need. We may need to verify your identity and may retain limited information to document how we handled your request. We will address requests in line with applicable legal requirements.
You may also raise a concern with Uganda’s Personal Data Protection Office (PDPO) if you believe your information has been mishandled. We encourage you to contact us first when practical, but this does not restrict your right to approach the regulator.
16. Email updates and fundraising communications
If you subscribe to news or fundraising updates, we will use the contact details you provide to send the communications you requested. You can withdraw from promotional or fundraising emails through an unsubscribe link where one is provided or by emailing us. We will keep essential service, transactional and legally required messages separate from optional promotional communications.
We will not automatically add everyone who contacts or donates to a marketing mailing list without an appropriate basis.
17. Changes to this policy
We may revise this Policy when our services, technology, partners or legal obligations change. The latest published version will be available at www.dadairecharity.org/privacy-policy/ and will show its revision date. Where a significant change requires additional notice or consent, we will take the steps required by applicable law.
